Last Updated: October 19, 2026
Scope and Purpose
- This Careers Privacy Notice (“Notice”) describes how Frontier Radiology, LLC and Harrison.AI Services, Inc. (together, “we,” “us,” or “our”) collect, use, disclose, and protect the personal information of radiologists, licensed clinicians, and other job candidates (“candidates” or “you”) in connection with recruitment activities in the United States.

Harrison.ai Services supports the recruitment process through administrative and technology services on behalf of Frontier Radiology.
- This Notice applies only to job candidates. It does not cover patients, or your use of our products or services, which are addressed in the Website and Business Privacy Notice and the HIPAA Notice of Privacy Practices (for Patients).

How Information Is Collected
- We collect personal information from multiple sources, including: (a) directly from you, when you submit an application, résumé, or other recruitment materials; (b) from recruitment agencies, staffing partners, and professional referrals; (c) from references you provide or authorize us to contact; (d) from third-party data providers and background check vendors; (e) from publicly or professionally available sources, such as medical board registries and professional directories; and (f) automatically, through cookies and similar technologies, when you interact with our careers website.
Key Uses of Personal Information
- Candidate sourcing and outreach: identifying and contacting prospective candidates through public professional sources, referral networks, recruiting and candidate-sourcing services we engage, or prior expressions of interest. We send recruiting outreach only where the law allows, and you may opt out of recruiting outreach at any time (see “Candidate Rights” below).
- Application evaluation: reviewing and assessing qualifications, credentials, licensure status, board certification, and overall suitability for available positions.
- AI-assisted recruitment screening:
- We may use AI-enabled tools to assist our recruitment team in organizing and reviewing candidate information against the requirements of the relevant role.
- These tools may also conduct limited supplemental research using publicly available professional sources, such as medical board registries and professional networking platforms.
- The output of these tools is one of several inputs that may inform our recruitment team’s review.
- Recruitment decisions are made by our personnel, who exercise independent judgment and are not bound by the output of any AI-enabled tool. We do not make employment decisions solely on the basis of automated processing.
- We do not use AI-enabled tools to make decisions based on protected characteristics, and we take reasonable steps designed to limit the sensitive personal information, such as demographic and health-related information, that is made available to these tools.
- Where information obtained from external sources appears inconsistent with information you have provided, we may take steps to verify it.
- Candidates may request information about how AI-enabled tools are used in the recruitment process, request a reasonable accommodation, or request an alternative human-only review of their application.
- Communicating with you: contacting you by email, phone, or text message about your application, interviews, credentialing, licensing, onboarding, document requests, and related updates. Text messages are sent by Harrison.ai Services on behalf of Frontier Radiology, and only after you separately opt in to receive them (for example, by checking a box or replying YES). Message frequency varies, and message and data rates may apply. You can reply STOP to any text to opt out or HELP for help. Choosing not to receive texts will have no adverse effect on your candidacy; we will use email or phone instead.
- Verification and background screening: conducting identity verification, reference checks, and, following acceptance of a conditional offer, background checks, in each case with any notice, disclosure, and authorization required by applicable federal and state law, including the Fair Credit Reporting Act.
- Recruitment analytics and attribution: compiling aggregated and de-identified recruiting metrics, including analysis of which websites, advertising campaigns, and referral sources generate applications and hires.
- Legal and regulatory compliance: verifying work eligibility, confirming licensure and credentialing requirements, and fulfilling obligations under applicable federal, state, and local employment laws.
- Improving our recruiting process: evaluating and improving how we recruit, such as reviewing interview scheduling and time-to-hire.
- Other purposes with your consent: any additional purpose we describe to you at the time you give consent.
Location-Specific Requirements
- This Notice applies to recruitment in the United States. Where applicable federal, state, or local law requires a specific notice regarding the use of AI-enabled, automated, or algorithmic tools in employment decisions, including laws in jurisdictions such as New York City, Illinois, Colorado, and Maryland, we will provide that notice separately, such as in the job posting, during the application process, or before the relevant tool is used.
Disclosure of Personal Information
- We may disclose your personal information to the following categories of recipients for the purposes described in this Notice: (a) affiliated entities within the Harrison.ai group of companies; (b) service providers and vendors, including website and form hosting providers, applicant tracking system operators, workflow and communication tools, background check providers, and AI-enabled recruitment technology providers; (c) professional advisors, including legal counsel, auditors, and consultants; and (d) government authorities, regulators, or other third parties where disclosure is required or permitted by applicable law, regulation, or lawful process. Service providers that send messages for us may use your contact details only to deliver our messages. We do not share mobile phone numbers or text-messaging consent with third parties or affiliates for their own marketing purposes.
Data Retention and Security
- We maintain reasonable administrative, technical, and physical security measures designed to protect candidate personal information against unauthorized access, use, alteration, or destruction. These measures include confidentiality obligations for employees and subcontractors, need-to-know access controls, role-based system permissions, and encryption of data in transit and at rest. No system is completely secure, however, and we cannot guarantee that information sent over the internet or stored on our systems is immune from unauthorized access. If you believe your interaction with us is no longer secure, please contact us immediately using the details below.
- If you are hired or engaged: your recruitment information will be incorporated into your employment or engagement records and governed by a separate employee or contractor privacy notice.
- If you are not hired or you withdraw your application: we will retain your information for no longer than necessary to consider you for future opportunities, to improve our recruitment processes, and for legitimate record-keeping and legal compliance purposes, unless you request deletion of your information in accordance with the “Candidate Rights” section below.
International Transfers
- Our recruitment activities are based in the United States. However, your personal information may be accessed or processed by affiliated entities or service providers located outside the United States, including in Australia and India. Where such transfers occur, we implement appropriate contractual, technical, and organizational safeguards to protect your information.
Candidate Rights
- Depending on your state of residence, you may have certain rights with respect to your personal information, subject to applicable exceptions and limitations. Where provided by applicable law, these rights may include: the right to access, correct, or delete your personal information; the right to data portability; the right to opt out of or obtain information about automated decision-making; the right to non-discrimination for exercising your privacy rights; and the right to withdraw consent where consent is the basis for processing.
- Your decision to provide or withhold voluntary information, such as responses to optional surveys or self-identification questionnaires, will have no adverse effect on your candidacy.
- Opting out of messages: you can opt out of recruiting or marketing emails and texts at any time by clicking the unsubscribe link in any marketing email, replying STOP to any text, or contacting us using the details below. We act on opt-outs promptly, and within 10 business days or any shorter period the law requires. Opting out of marketing messages does not stop operational messages you need in connection with an active application, such as interview scheduling or document requests.
- To exercise any applicable rights, please contact our Privacy Officer using the information provided below. We may require verification of your identity before processing your request. You may also designate an authorized agent to submit a request on your behalf, where permitted by applicable law. We will not charge a fee for processing your request unless permitted by law.
- Supplemental notice for California applicants: California residents may have additional rights under the California Consumer Privacy Act (“CCPA”), as amended by the California Privacy Rights Act (“CPRA”), including the right to know, delete, correct, and limit the use of sensitive personal information, as well as the right to opt out of the sale or sharing of personal information. Our careers website uses Google Ads and LinkedIn Insight tags, which may involve “sharing” under the CCPA. You can opt out through the cookie banner, the “Your Privacy Choices” link, or Global Privacy Control. We do not sell personal information for money. We do not use or disclose sensitive personal information for purposes other than those permitted under the CCPA. The categories of personal information we collect, the sources, the purposes for which we use it, and the categories of recipients are described in this Notice. We retain each category of personal information only for as long as described in “Data Retention and Security” (under Frontier Radiology’s Business Records Management and Retention Policy, we keep application materials, résumés, and interview notes for 1 year and, if you are hired or engaged, personnel records for 3 years and employment verification forms for 3 years after termination; legal holds, and longer periods required by law, override these periods). We do not knowingly collect personal information from candidates under 16 years of age. California residents may exercise their rights, or authorize an agent to do so, by contacting the Privacy Officer using the details in “Contact Information”; we will verify your identity and respond within the timeframes required by the CCPA. We will not discriminate against you for exercising your rights.
